You can read everything on this site without giving us any details, and optional cookies stay off unless you turn them on. If you have already written to us and want that message deleted, email info@larkcypress.com or call +81 3-3376-3306. We delete it and confirm by reply once it is gone.
Building access details
Cleaning an office in the evening means we hold information most suppliers never see: entry codes, key-card numbers, the name of the building manager, alarm set times and which rooms are off limits. We keep these on one access sheet per client. Only the team leader assigned to your site and our office manager can open it.
Keys and cards are signed out and back in on every visit. Codes are never written on the cards themselves or sent to cleaners by chat message; the team leader passes them on in person.
Attendance records
Each nightly visit produces a signed attendance record: who attended, arrival and departure times, and anything reported — a stain on a carpet tile, a soap dispenser that needs repair. These records name our staff, and sometimes the member of your staff who reported a problem. We keep them for two years so you can check a past visit, then delete them.
What we do not collect
We do not photograph desks, screens or documents, and our cleaners are asked not to move papers except to wipe underneath them. When a floor treatment condition report needs a photo of a worn or damaged area, it is taken with no people or paperwork in the frame.
Sharing
Your details are not passed to anyone outside the company except our email provider and, for invoices, our accountant. When a building management company asks for the names of cleaners working in the building, we send them our staff list — never information about your employees.
Requests about your information
Under the Act on the Protection of Personal Information you can ask Lark Cypress Yugen Kaisha to disclose, correct, stop using or delete what we hold about you. Write to info@larkcypress.com or to 1-58-6 Honmachi, Shibuya-ku, Tokyo 151-0071. We reply within ten working days.
Our own staff
The people who clean your office are employed by us, not by an agency, and their details — names, contact numbers, working hours — are held under our employment records rather than under any client file. When a building requires cleaners to wear visitor badges or register at a security desk, we provide only the information the building asks for.
CCTV in your building
Many office buildings record corridors and entrances. Those recordings belong to the building or to you, not to us, and we do not ask for copies. If footage is needed to look into an incident during one of our visits, we cooperate with the building manager and ask that it is used only for that purpose.
Changes to this policy
We update this policy when the way we work changes — for example if we start using a new scheduling system for our teams. The current version is always the one on this page.
