What nightly attendance covers
Nightly Office Attendance means a recurring evening visit of about ninety minutes to two hours. The team wipes desks and shared surfaces, resets meeting rooms, cleans washrooms, empties bins according to your building's separation rules, vacuums or mops entrance flooring and restocks consumables. The agreed checklist is attached to your quote, and each visit is signed off on the attendance record.
Reception reset
The Meeting Room & Reception Reset is a short daytime visit of about forty-five minutes at a fixed hour, covering the areas visitors see first. It includes checking cups and supplies, tidying meeting tables and leaving a handover note at reception. It does not cover desks in working areas.
Floor and carpet treatment
Quarterly floor treatment is carried out outside working hours, usually on a weekend, and covers hard floors and carpet tiles up to 400 m² per session. We move and return furniture, but ask that computers and cables under desks are unplugged and lifted beforehand. A condition report follows each session and notes worn areas that may need attention from your building manager.
Access, keys and alarms
You are responsible for giving us the access we need at the agreed times. If the team cannot get in because of a changed code, a locked floor or building maintenance, the visit counts as attended unless you told us at least one working day in advance. Keys and cards stay with the team leader and are never copied.
Holidays and rescheduling
We do not attend between 29 December and 3 January unless agreed in advance. When a national holiday falls on a scheduled evening, we ask beforehand whether you want the visit moved or skipped, and skipped visits are not charged.
Changes to these terms
We may update these terms when our services change. The version on this page at the time you send an enquiry applies to that enquiry; signed contracts follow the terms attached to them. Japanese law governs these terms, and any dispute that cannot be settled by discussion is heard first at the Tokyo District Court.
Consumables and restocking
Restocking paper towels, toilet paper, hand soap and bin liners is part of nightly attendance. We either use supplies you keep on site, noting on the attendance record when stock is running low, or supply them ourselves and list them on the monthly invoice. Which arrangement applies is set in your quote.
Waste and recycling
Waste is separated and taken to the collection point your building uses, following the Shibuya-ku and building rules for burnable, non-burnable, plastic and bottles. We do not remove bulky items, confidential paper for shredding or electronic waste; these need to be arranged separately.
Emergencies during a visit
If the team finds a leak, a door that will not lock, or an alarm that will not set, they contact the emergency number on your access sheet and stay until the building manager or your nominated person has been reached. These situations are recorded on the attendance record the same evening.
Feedback between visits
Most clients leave notes on the attendance record or send a short email when something needs attention — a meeting room that will be used early, a carpet stain to look at. The team leader reads these before the next visit. For anything urgent, calling +81 3-3376-3306 during office hours is quicker than email.
Querying a visit
After each visit the signed attendance record is left at reception or wherever we have agreed. If something on it does not match what you found in the morning, note it on the record or email us; queries raised within seven days are checked against the team leader's notes and answered in writing.
